GoHighLevel and Microsoft Teams Integration: Setting Up Automated Meeting Links for Corporate Clients

GoHighLevel and Microsoft Teams Integration

By Damian Qualter | GoHighLevel Expert | 200+ Implementations

GoHighLevel and Microsoft Teams Integration – If your clients are predominantly corporate — businesses using Microsoft 365 as their standard workplace suite — asking them to join a Zoom call requires them to step outside their established workflow. Some will. Many will prefer Teams, and a meaningful proportion will silently note that you’re not using the same tool they use every day.

GoHighLevel integrates natively with Microsoft Teams, as well as Zoom and Google Meet. The setup is nearly identical to the other video integrations — connect the account, enable Teams on the calendar, add the meeting link variable to confirmation templates — with one important prerequisite: the Microsoft account must be a Microsoft 365 Business account, not a personal Microsoft account. This distinction matters and affects a section of businesses who discover it after they’ve started the setup.

Microsoft 365 Pricing (UK)

Plan Price Teams Meetings
Microsoft 365 Business Basic £4.50/user/mo Unlimited meetings, 1:1 and group
Microsoft 365 Business Standard £9.40/user/mo Full Teams + desktop apps
Microsoft 365 Business Premium £16.60/user/mo Advanced security + Teams
Microsoft 365 Apps for Business £7.90/user/mo Apps only, no Teams meetings

Equivalent USD pricing: Business Basic $6/user/mo, Standard $12.50/user/mo, Premium $22/user/mo. Verify current UK pricing at microsoft.com/en-gb/microsoft-365/business — these prices are subject to change. Personal Microsoft accounts (Outlook.com, Hotmail, Live) and the free Teams tier do not support GoHighLevel’s meeting link generation.

Step 1: Connect Microsoft Teams to GoHighLevel

Prerequisite: An active Microsoft 365 Business subscription (Basic, Standard, or Premium). Personal Microsoft accounts are not supported.

In GoHighLevel: Settings → Integrations → Microsoft Outlook

GoHighLevel’s Teams integration routes through the Microsoft Outlook/365 connection — you connect your Microsoft 365 account, and Teams meeting link generation becomes available alongside Outlook calendar sync.

Click Connect, sign into your Microsoft 365 account, and grant the requested permissions. These include read/write access to the calendar and the ability to create Teams meetings on your behalf.

Once connected, your Microsoft 365 account email is confirmed in the integrations panel, and Teams appears as a meeting location option in your calendar settings.

Step 2: Enable Teams on Your Calendar

In GoHighLevel: Settings → Calendars → your calendar → Meeting Location

Select Microsoft Teams from the dropdown. From this point on, every appointment booked on this calendar automatically generates a unique Teams meeting link.

As with Zoom and Google Meet, each booking creates a distinct meeting URL — not a recurring personal meeting link. The Teams meeting is scheduled in your Microsoft 365 calendar and in GoHighLevel simultaneously, keeping both calendars aligned.

Step 3: Include the Teams Link in Confirmation Templates

The confirmation variable is identical across all three video platforms: {{appointment.meeting_location}}

Example confirmation email:

Your consultation is confirmed.

Date: {{appointment.start_time | date: “%A, %d %B %Y”}} Time: {{appointment.start_time | date: “%H:%M”}} (UK time)

Join on Microsoft Teams: {{appointment.meeting_location}}

Teams works in your browser or via the Teams app — click the link above at your appointment time. If you’re using Teams on your work device, the meeting will also appear in your Teams calendar.

Need to reschedule? Use this link: {{appointment.reschedule_link}}

The practical note for corporate clients: Teams meetings booked through GoHighLevel appear in the host’s Microsoft 365 calendar with the meeting details. Corporate clients who join via their existing Teams app will see the meeting as a standard Teams calendar entry — indistinguishable from an internally scheduled meeting. This is the UX advantage Teams has for corporate clients over Zoom.

Add the meeting link to both 24-hour and 2-hour reminder templates. Corporate clients, in particular, appreciate a reminder they can act on directly, without searching for the original confirmation.

Step 4: Team Calendar Configuration

For round-robin or team calendars, each team member must connect their individual Microsoft 365 account.

Per team member: User Settings → Integrations → Microsoft Outlook → Connect with their Microsoft 365 account

When GoHighLevel assigns a booking to a team member, the Teams meeting is created on that person’s Microsoft 365 account. The confirmation email contains their specific meeting link.

Verification step: After each team member completes their Microsoft connection, book a test appointment assigned to them and confirm a valid Teams link is generated. Team members without active Microsoft 365 subscriptions cannot connect — this surfaces as “no meeting link generated” on their bookings.

When Teams Is the Right Choice

Three scenarios where Teams is clearly preferable to Zoom or Google Meet:

Corporate service clients on Microsoft 365. Financial services, legal firms, NHS-adjacent organisations, and most large UK businesses run Microsoft 365 as their standard. Receiving a Teams link is native to their workflow. Receiving a Zoom link asks them to step outside it.

Businesses with IT policies restricting external video tools. Some corporate organisations restrict the installation of non-approved software. Teams is typically pre-approved. Zoom or Google Meet may require IT approval, creating pre-call friction.

Full Microsoft 365 integration. If your business runs on Microsoft 365 — Outlook for email, SharePoint for documents, Teams for internal collaboration — keeping appointments in the same ecosystem (Teams meetings appearing natively in your Teams calendar) is genuinely tidier than managing a parallel Zoom account.

Where Zoom or Google Meet may be better: Consumer-facing businesses, coaching clients, and service businesses with individual clients rather than corporate buyers. The corporate familiarity advantage of Teams disappears when the client is a homeowner, a small business owner, or an individual consumer who may not use Microsoft 365 at all.

The Honest Limitation

Microsoft 365 requirement is a meaningful barrier. Unlike Zoom (which has a fully functional free tier for 1:1 calls) and Google Meet (which works with any free Google account), creating Teams meetings in GoHighLevel requires a paid Microsoft 365 Business subscription. At £4.50/user/month (approx. $5.60/user/month) for Business Basic, this is affordable — but it’s an incremental subscription cost that Zoom and Google Meet don’t impose on solo operators.

If you don’t already use Microsoft 365 for business email or collaboration, starting a Microsoft 365 subscription solely to generate Teams meeting links is difficult to justify, given that Google Meet provides equivalent functionality with a free Google account.

GoHighLevel and Microsoft Teams Integration – Frequently Asked Questions

How do I connect Microsoft Teams to GoHighLevel? Go to GoHighLevel Settings → Integrations → Microsoft Outlook. Click Connect and sign into your Microsoft 365 Business account. Grant the requested permissions (calendar access and Teams meeting creation). Once connected, Teams becomes available as a meeting location option in Settings → Calendars → your calendar → Meeting Location.

Does GoHighLevel automatically create Teams meeting links? Yes, when Teams is set as the meeting location in calendar settings. Each appointment generates a unique Microsoft Teams meeting URL and creates a corresponding entry in your Microsoft 365 calendar. The link is available via the {{appointment.meeting_location}} variable in notification templates.

What Microsoft 365 plan do I need for GoHighLevel Teams integration? Any Microsoft 365 Business plan (Basic at £4.50/user/month, Standard at £9.40/user/month, or Premium at £16.60/user/month). Personal Microsoft accounts (Outlook.com, Hotmail, Live) and the free Teams tier are not supported by GoHighLevel’s meeting link generation.

How do I add a Teams link to GoHighLevel booking confirmations? Edit your confirmation email and SMS templates in Settings → Calendars → your calendar → Notifications. Add the variable {{appointment.meeting_location}} where the meeting link should appear. This variable works identically for Teams, Zoom, and Google Meet.

Should I use Teams or Zoom with GoHighLevel? Teams for corporate clients using Microsoft 365 — the meeting appears natively in their Teams environment. Zoom for business clients who use Zoom as their standard conferencing tool. Google Meet for consumer-facing businesses where browser-based simplicity matters most. See the companion articles on GoHighLevel + Zoom and GoHighLevel + Google Meet for full comparisons.

Why is my GoHighLevel Teams meeting link not generating? Most common causes: the Microsoft account connected is a personal account rather than a Microsoft 365 Business account, the Microsoft OAuth token has expired (disconnect and reconnect in Settings → Integrations), the calendar’s Meeting Location is not set to Teams, or a team member’s individual Microsoft account isn’t connected in their User Settings.

Can I use Microsoft Teams with GoHighLevel for free? No — unlike Zoom (free tier for 1:1) and Google Meet (free with any Google account), GoHighLevel’s Teams integration requires a paid Microsoft 365 Business subscription. The minimum is Business Basic at £4.50/user/month (approx. $5.60/user/month).

Does GoHighLevel Teams integration work with personal Microsoft accounts? No. GoHighLevel’s Teams integration requires a Microsoft 365 Business account. Personal Microsoft accounts (Outlook.com, Hotmail, Live) are not supported. This is a Microsoft API requirement, not a GoHighLevel limitation.

How do I set up Teams for a team calendar in GoHighLevel? Each team member connects their individual Microsoft 365 account via their User Settings → Integrations → Microsoft Outlook. When a booking is assigned to a team member in a round-robin calendar, the Teams meeting is created on their Microsoft 365 account. Test each team member’s connection individually before going live.

What is the Teams meeting link variable in GoHighLevel? {{appointment.meeting_location}} — the same variable used for Zoom and Google Meet. Insert this into your confirmation email and SMS notification templates wherever the meeting link is currently displayed. GoHighLevel automatically populates it with the generated Teams meeting URL when the notification is sent.
