GoHighLevel Zoom Integration: Auto-Creating Meeting Links When Leads Book a Call

GoHighLevel Zoom Integration:

By Damian Qualter | GoHighLevel Expert | 200+ Implementations

Every business I’ve implemented GoHighLevel for has experienced this: a prospect books a discovery call, the meeting link doesn’t get created or sent in time, someone’s waiting in a waiting room, and five minutes of the call is spent sorting out what went wrong before the actual conversation starts.

The GoHighLevel Zoom integration exists to make this impossible. When configured correctly, a prospect books a call, a unique Zoom meeting is created automatically, and the link arrives in the confirmation email within sixty seconds of booking. The prospect’s confirmation contains everything they need. You don’t need to think about it.

The setup takes about fifteen minutes. The time saved and the professionalism it adds compound over every booking you take from that point forward.

Zoom Pricing Overview

Plan Price Key Meeting Limits
Basic (Free) $0 Unlimited 1:1 meetings; 40-min limit for 3+ participants
Pro $13.33/user/mo (approx. £11/user/mo) 30-hour limit, 100 participants, cloud recording
Business $18.33/user/mo (approx. £15/user/mo) 300 participants, transcription, managed domains
Business Plus $22.49/user/mo (approx. £18/user/mo) Translated captions, workspace features
Enterprise Custom 500+ participants, unlimited recording storage

For GoHighLevel discovery/strategy call setup: Basic (free) is sufficient for 1:1 calls with no time limit. The 40-minute restriction only applies when there are three or more participants. For standard coaching or consulting discovery calls — two people, typically 30–45 minutes — Basic is fully capable. Zoom Pro at $13.33/user/month (approx. £11/user/month) is worth the upgrade if you need cloud recording or run group sessions. Verify current pricing at zoom.us/pricing.

Step 1: Connect Your Zoom Account to GoHighLevel

In GoHighLevel: Settings → Integrations → Zoom

Click Connect Zoom. GoHighLevel redirects to Zoom’s OAuth authorisation page. Log into your Zoom account and grant the requested permissions.

After authorisation, you’re returned to GoHighLevel with your Zoom account email confirmed in the integrations panel.

Critical note for teams: Each GoHighLevel user connects their own Zoom account in their individual user settings — not in the sub-account integrations panel. The sub-account panel connection handles the account owner’s calendar. For team members with their own assigned calendars, each person goes to their User Settings (click their name/avatar → User Settings → Integrations → Zoom) and connects their Zoom account there.

If a team member’s Zoom account isn’t connected when they’re assigned a booking, no Zoom link is generated for that appointment. This is the most common cause of “broken” Zoom integration in round-robin or team calendar setups.

Step 2: Enable Zoom on Your Calendar

In GoHighLevel: Settings → Calendars → your calendar → Meeting Location

In the calendar’s Meeting Location setting, select Zoom. GoHighLevel now generates a unique Zoom meeting for every appointment booked on this calendar.

[SCREENSHOT: GoHighLevel Calendar Settings → Meeting Location section with Zoom selected from dropdown]

The meeting is created on the Zoom account of the calendar owner (or the assigned team member for round-robin bookings). Each booking generates a distinct Zoom meeting URL — not a recurring personal room link. This is intentional: unique per-appointment links expire after the meeting ends, preventing old links from being reused accidentally.

Step 3: Add the Meeting Link to Your Confirmation Templates

The Zoom link only reaches the prospect if your confirmation and reminder templates include it. The variable is: {{appointment.meeting_location}}

Example confirmation email section:

Your discovery call is confirmed.

Date: {{appointment.start_time | date: “%A, %d %B %Y”}} Time: {{appointment.start_time | date: “%H:%M”}} (UK time)

Join on Zoom: {{appointment.meeting_location}}

Zoom works in your browser or via the Zoom app. Click the link above at your appointment time.

Need to reschedule? {{appointment.reschedule_link}}

In GoHighLevel: Settings → Calendars → your calendar → Notifications → Confirmation Email

Edit the email template body and add the section above (or incorporate the {{appointment.meeting_location}} variable into your existing template).

Repeat for reminders: Add the same meeting link variable to your 24-hour and 2-hour reminder templates. Many clients open the reminder to find the link rather than searching for the original confirmation. Including it in both eliminates the “I can’t find the link” message that otherwise arrives 5 minutes before call time.

Step 4: Test Before Any Real Booking Uses the Setup

This step is non-negotiable. Run a test booking before any real prospect goes through the flow.

  1. Open your booking page in a private browser window
  2. Book a test appointment using your own email and mobile number
  3. Check your Zoom account → Meetings → Upcoming. A new meeting should appear within 60 seconds
  4. Open the confirmation email — verify the Zoom link is present, formatted correctly, and clickable
  5. Check the confirmation SMS — verify the link is included (it’s long; confirm it hasn’t been truncated)
  6. Click the Zoom link from the email — verify it opens a valid meeting room

If the Zoom meeting doesn’t appear in your Zoom account within two minutes of booking, disconnect and reconnect the Zoom integration in GoHighLevel Settings → Integrations → Zoom. Token expiry is the most common cause of this.

Step 5: Set Up the Team Calendar (Round-Robin)

For businesses with multiple team members taking discovery calls:

  1. Each team member must have connected their Zoom account in their individual User Settings (Settings → User Settings → Integrations → Zoom for each user)
  2. Create a round-robin calendar in GoHighLevel: Settings → Calendars → Create Calendar → Round Robin
  3. Add each team member to the calendar’s team list
  4. Set the Meeting Location to Zoom at the calendar level

When GoHighLevel assigns a booking to a team member, it creates the Zoom meeting on that team member’s Zoom account and includes their meeting link in the confirmation. The prospect receives a link to their specific assigned host’s Zoom room.

Before going live: Book a test appointment for each team member individually — confirm each person’s Zoom link generates correctly. A team member who completed the GHL account setup but skipped the Zoom connection step will surface here before it affects a real prospect.

Zoom vs Google Meet: The Practical Comparison for GoHighLevel Users

GoHighLevel Zoom Integration – Frequently Asked Questions

How do I connect Zoom to GoHighLevel?
Go to GoHighLevel Settings → Integrations → Zoom. Click Connect Zoom and complete Zoom’s OAuth authorisation. For team calendars, each team member connects their own Zoom account via their individual User Settings → Integrations → Zoom — not via the sub-account settings panel.

Does GoHighLevel automatically create Zoom meeting links?
Yes, when Zoom is set as the meeting location in calendar settings. Each appointment generates a unique Zoom meeting URL automatically. The link is accessible on the appointment record and via the {{appointment.meeting_location}} variable in notification templates.

How do I include the Zoom link in GoHighLevel booking confirmations?
Edit your confirmation email and SMS templates in Settings → Calendars → your calendar → Notifications. Add the variable {{appointment.meeting_location}} where you want the link to appear. Add it to both confirmation and reminder templates — clients often look for the link in the reminder rather than the original confirmation.

What Zoom plan do I need for GoHighLevel integration?
The free Basic plan works for all 1:1 discovery and strategy calls with no time restriction. Upgrade to Pro ($13.33/user/month, approx. £11/user/month) if you need cloud recording, run group calls with 3+ participants regularly, or your calls exceed 40 minutes with multiple attendees.

Can GoHighLevel create unique Zoom links per booking?
Yes. Each appointment generates its own unique Zoom meeting URL — not a recurring personal room. Links are specific to the appointment and expire after the session ends, which is the correct setup for client-facing calls.

Why is my GoHighLevel Zoom integration not creating meeting links?
Most common causes: Zoom OAuth token has expired (disconnect and reconnect in Settings → Integrations → Zoom), the calendar’s Meeting Location is not set to Zoom (check Settings → Calendars → your calendar → Meeting Location), or for team bookings, the assigned team member hasn’t connected their Zoom account in their individual User Settings.

How do I set up Zoom for a team calendar in GoHighLevel?
Each team member connects their Zoom account in their User Settings → Integrations → Zoom. Create a round-robin calendar in GoHighLevel and assign all team members. Set Meeting Location to Zoom at the calendar level. Test by booking an appointment for each team member to confirm all Zoom connections are working before going live.

Does GoHighLevel record Zoom calls automatically?
No. GoHighLevel creates the Zoom meeting; recording is controlled within Zoom itself. To record calls automatically, enable Automatic Recording in your Zoom account settings (Settings → Recording → Automatic Recording). Cloud recording requires Zoom Pro ($13.33/user/month, approx. £11/user/month) or above.

Can I use Zoom webinars through GoHighLevel?
GoHighLevel’s native Zoom integration is for meeting link generation in calendar bookings — it doesn’t currently support Zoom Webinar registration or attendee management natively. For Zoom Webinar integration (registering contacts for webinars, tracking attendance), use Zapier: GHL contact created → Zapier → Zoom Webinar add registrant.

Should I use Zoom or Google Meet with GoHighLevel?
Zoom for B2B discovery calls and group sessions — business clients are accustomed to Zoom and the recording functionality is more mature. Google Meet for consumer-facing service businesses where reducing client friction matters most — no installation, fully browser-based. Both are native GoHighLevel integrations using the same confirmation variable. See the GoHighLevel + Google Meet article for the full Meet setup guide.
