GoHighLevel and Google Looker Studio: Building a Live Client Dashboard in Under an Hour

GoHighLevel and Google Looker Studio

By Damian Qualter | GoHighLevel Expert | 200+ Implementations

GoHighLevel and Google Looker Studio – GoHighLevel‘s built-in reporting is genuinely useful for operational oversight — workflow execution counts, appointment show rates, email open rates, pipeline values. What it can’t do is combine that data with ad spend from Google Ads, revenue from Xero, and website traffic from GA4 into a single view that answers the question every client actually wants answered: what is my cost per acquired client, and is it going down?

Google Looker Studio (free, formerly Google Data Studio) builds that combined view. The connection between GoHighLevel and Looker Studio runs through Google Sheets as the data layer — GHL data flows into Sheets via Zapier, the Sheets become data sources in Looker Studio, and the dashboard pulls from all sources simultaneously.

This guide covers the data pipeline, the dashboard structure that matters most for service businesses, and the client reporting template worth building once and reusing across accounts.

Google Looker Studio Pricing

Looker Studio is free. Google’s enterprise product (Looker) is separately priced and not relevant here. Go to lookerstudio.google.com — no subscription required.

Step 1: Create the GoHighLevel Data Layer in Google Sheets

Looker Studio connects to data sources. For GoHighLevel data, the data source is a Google Sheet that Zapier populates with GHL events in real time.

Create a Google Sheet with these tabs:

Tab 1: Leads Columns: Date, First Name, Last Name, Email, Phone, Source (UTM), Lead Type, Assigned Team Member, Created From (form/ad/manual)

Tab 2: Appointments Columns: Date, Contact Name, Appointment Type, Status (Booked/Showed/No-Show/Cancelled), Assigned Team Member, Lead Source

Tab 3: Pipeline Columns: Date, Contact Name, Pipeline Stage, Opportunity Value, Won/Lost, Team Member

Tab 4: Revenue (from Stripe via Zapier or Xero export) Columns: Date, Client Name, Service, Amount, Currency

Step 2: Populate the Sheets via Zapier

Zap 1: New GHL Contact → Leads Sheet Row Trigger: GoHighLevel New Contact Created Action: Google Sheets → Append Row (to Leads tab) Map: Contact creation date, name, email, phone, UTM source (from GHL attribution fields), lead source tag

Zap 2: GHL Appointment Status Changed → Appointments Sheet Row Trigger: GoHighLevel Appointment Status Changed Action: Google Sheets → Append Row (to Appointments tab) Map: Appointment date, contact name, type, new status, assigned user

Zap 3: GHL Opportunity Stage Changed → Pipeline Sheet Row Trigger: GoHighLevel Opportunity Stage Changed Action: Google Sheets → Append Row (to Pipeline tab) Map: Date, contact name, new stage, opportunity value, won/lost flag

These Zaps build a historical data log in Sheets. Unlike GHL’s built-in reporting — which shows current state — the Sheets log accumulates every event, enabling trend analysis over time.

Step 3: Connect Sheets to Looker Studio

  1. Open Looker Studio at lookerstudio.google.com
  2. Create a New Report
  3. Click Add Data → Google Sheets
  4. Select your GoHighLevel data spreadsheet
  5. Select the Leads tab as the first data source
  6. Add additional data sources: Appointments tab, Pipeline tab, Google > Ads (connect directly via GA4/Google Ads connector), GA4 (connect > directly)

Once all data sources are connected, you can blend them in Looker Studio using shared fields — typically Email or Date — to create cross-source calculated metrics.

The Dashboard Structure That Matters

Page 1: Lead Generation Overview

  • Total leads this month (count of Leads sheet rows in current month)
  • Leads by source (bar chart: Google Ads vs Facebook vs Organic vs > Referral)
  • Cost per lead by source (blended with Google Ads spend — requires > the GA4/Google Ads connector)
  • Lead volume trend (line chart: weekly lead count over 12 weeks)

Page 2: Appointment Performance

  • Appointments booked this month
  • Show rate (showed ÷ booked — calculated metric)
  • No-show rate by source (are Google Ads leads showing up less than > organic?)
  • Appointment trend over time

Page 3: Pipeline and Revenue

  • Pipeline value by stage (current open opportunities)
  • Won deals this month and revenue
  • Conversion rate: leads → booked → showed → won
  • Average deal value trend

Page 4: Cost per Acquisition (the critical metric)

Blended view: ad spend (from Google Ads connector) ÷ won clients (from Pipeline sheet) = cost per acquired client. This is the number that drives marketing budget decisions and it requires combining data from multiple sources — which is exactly what Looker Studio enables.

Building for Client Reporting (Agency Use)

For GoHighLevel agencies reporting to clients, Looker Studio’s sharing features make it the cleanest client reporting tool available for free:

  • Build one report template with placeholders for all data sources
  • Duplicate the template for each client
  • Connect the duplicate to that client’s specific Sheets data
  • Share the Looker Studio report URL with the client (view-only > access, no login required)

The client receives a live dashboard URL that updates automatically whenever Zapier adds new rows to their Sheets. No manual report creation, no PDFs to export, no “can I get the latest numbers?” emails.

The Honest Limitation: Data Lag

GoHighLevel data in Looker Studio is only as up to date as the most recent Zapier run. On Zapier Professional plan (2-minute polling), data is a maximum of 2 minutes old. On Starter plan (15-minute polling), up to 15 minutes. For operational real-time monitoring, GoHighLevel’s built-in dashboard is more immediate. For strategic reporting and trend analysis — the correct use of Looker Studio — a 15-minute lag is irrelevant.

GoHighLevel’s internal reporting and Looker Studio serve different purposes: GHL for day-to-day operational visibility, Looker Studio for strategic reporting and cross-platform attribution.

GoHighLevel and Google Looker Studio – Frequently Asked Questions

Can GoHighLevel connect to Google Looker Studio? Not directly — there’s no native GHL → Looker Studio connector. The connection runs through Google Sheets as an intermediate data layer: Zapier populates Sheets with GHL events (leads, appointments, pipeline changes), and Looker Studio connects to those Sheets as data sources.

How do I build a GoHighLevel dashboard in Looker Studio? Create a Google Sheet with tabs for leads, appointments, and pipeline data. Set up Zapier Zaps to populate each tab with GHL events. In Looker Studio, create a new report and add Sheets as a data source alongside Google Ads and GA4 connectors. Build pages for lead generation, appointment performance, and revenue/cost per acquisition.

What GoHighLevel data can I report on in Looker Studio? Any data that GoHighLevel exposes via Zapier: contact creation (with lead source, UTM data), appointment status changes (booked, showed, no-show), pipeline stage changes (with opportunity values), and tag additions. Revenue data from Stripe can be added via a Stripe → Sheets Zap.

Is Google Looker Studio free to use with GoHighLevel? Looker Studio itself is free. The cost is the Zapier subscription required to populate the Sheets data layer — Starter at $19.99/month (approx. £16/month) for 750 tasks. The Sheets and Looker Studio components have no additional cost.

How do I get GoHighLevel data into Google Sheets for Looker Studio? Zapier Zaps: New GHL Contact → Append Row to Leads Sheet, Appointment Status Changed → Append Row to Appointments Sheet, Opportunity Stage Changed → Append Row to Pipeline Sheet. Map relevant contact and event fields to Sheet columns for each Zap.

What metrics should I track in a GoHighLevel Looker Studio dashboard? Priority metrics: total leads by source, cost per lead (blended with ad spend), appointment show rate, lead-to-booked rate, booked-to-showed rate, showed-to-won rate, average deal value, and cost per acquired client. The full-funnel view — from ad click to closed client — answers the marketing ROI question that no single platform’s reporting can answer on its own.

Can I share a GoHighLevel Looker Studio dashboard with clients? Yes. Looker Studio reports can be shared via URL with view-only access — no Google account required for the recipient. For agency client reporting, duplicate a master template for each client, connect to their Sheets data, and share the view URL. The client sees a live dashboard that updates automatically.

How often does GoHighLevel data update in Looker Studio? Data updates depend on Zapier’s polling interval — every 2 minutes on the Professional plan ($49/month, approx. £39/month) or every 15 minutes on the Starter plan. Looker Studio refreshes data from Sheets when you open the report or when it runs on a schedule. For strategic reporting, 15-minute lag is inconsequential.

What is the difference between GoHighLevel’s built-in reporting and Looker Studio? GHL’s built-in reporting shows the current state within GHL — open pipeline, active workflows, appointment calendar, email performance. Looker Studio shows trends over time, cross-platform attribution (GHL + Google Ads + GA4), and blended metrics like cost per acquisition. Use GHL for daily operational monitoring; Looker Studio for strategic reporting and client-facing dashboards.

Can I combine GoHighLevel data with Google Ads data in Looker Studio? Yes. Looker Studio’s native Google Ads connector pulls ad spend, impressions, clicks, and campaign data directly. Blend this with the Sheets data from GHL (leads by source, won clients by source) using a shared Date or Campaign dimension to calculate cost per lead and cost per acquired client by campaign.
